What is the rental fee for Ballroom at the Reserve and what does it include?

What is the building capacity?

-180 for seated dinner, 200 ceremony, 250 Hors D’oeuvres Reception

Is there a deposit?

-Yes. When the contract is signed, to continue holding the date, we require $1500 deposit. 30 days prior to the event, the remaining rental balance is due along with any up front bar costs. The third and final payment is due on the night of your event for any consumption based beverages of your hosted bar package. 

How do I reserve a date?

Prior to booking your date, we hope you are able to come out in person to tour the venue. If you live out of town, you may request a FaceTime tour. To reserve a date email us at reserveballroom@gmail.com saying you are ready to book your specific date. 

Do I need to schedule a tour or can I just stop by?

We ask that you please schedule an appointment by emailing reserveballroom@gmail.com or filling out our contact form here.

Do we have to utilize your bar service?

Yes. We have our own liquor license. The Ballroom at the Reserve will be selling and serving all alcoholic beverages. No carry-ins are allowed on the premises. Any violation of this policy will be subject to fines. If you are using our bridal suite and would like champagne for getting ready mimosas, we will provide you with a complimentary bottle and champagne glasses. Reserve your bottle ahead of time at your 30 day meeting. You can view our bar package here.

Will there ever be another event on the same day?

At the Ballroom at the Reserve, we only host one event a day to ensure that each couple or client is special and receives our full attention. 

Are there overnight accommodations nearby?

Yes. There is a Double Tree just off our parking lot. We also have partnered with the boutique hotel, Cobblestone Hotel and Suites which is a few minutes away. We encourage you to reserve your room block soon. 

What is parking like around the building?

There are 4 lots adjacent to the building that are available as well as numerous city lots across the street that are available on nights and weekends. To view a map of the surrounding lots click here.

Do you offer straight tables instead of round?

We have a limited number of straight tables onsite that can be used for gift table, memory table, dessert table, appetizer table, head table, etc. Usually we have a few extras to mix in with reception seating but the majority of tables we have are 60 inch round tables that seat 8. 

We have the option to rent additional straight tables for $7 table. 

Do you provide table linens, cups, silverware, etc?

Ballroom at the Reserve provides a beautiful venue, tables, black wedding chairs, and black or ivory floor length linens. We provide hard plastic cups for the bar.

Any china, glassware and silverware needed for dinner, will need to be supplied by the caterer or rented.

We plan to have our ceremony and reception in one place, do you have a place for the bridal party to get ready?

We have a beautiful bridal suite located on the second floor, just below the ballroom. You may have access to that room as early as 8 am on the day of your wedding. We serve complimentary coffee and champagne to your bridal suite.

What form of payment does the Ballroom at the Reserve accept?

We can accept cash, check or credit card. 

What time will I have access to the venue to decorate?

Friday weddings are guaranteed the Thursday before and Saturday weddings are guaranteed the Sunday after. We hope that this helps alleviate stress. Also, if we do not have an event booked the day before your event, we may arrange for you to decorate the day before. We hope that this helps you truly enjoy your wedding day.

When can I have my ceremony rehearsal?

Ceremony rehearsals help everyone. They cannot be guaranteed on the day before your wedding, so it is best to have that conversation when you are signing your contract. Ask us what is currently on our calendar. Our desire is to be able to host your ceremony rehearsal in the traditional way by giving you access to the space on the day before your wedding. We will work around our event calendar to get something scheduled.

Do you include a wedding coordinator?

No. However, we do provide a day-of-coordinator who’s goal is to do everything possible to help your day go smoothly and to ensure that your day is as stress-free as possible. 

I want to have my ceremony and reception at the Ballroom, how does that work in the space?

When you book the Ballroom at the Reserve, you get the entire third floor for your wedding celebrations. For our standard set-up, we set the main ballroom for your ceremony. After the ceremony, we send your guests to the back ballrooms for cocktails and appetizers. While your guests are enjoying that time to connect, our staff gets to work flipping the main ballroom from the ceremony set-up to the reception set-up for dinner. It takes us about an hour to do everything and then we allow a little time for the catering team to get set. This means, that our staff will set up all your table decorations so you do not have to worry about a thing and can truly enjoy your special day. Do you have refrigeration to hold our desserts?

We have some cooler space available to allow for minimal refrigeration needed for floral or desserts. This is not guaranteed and will need to be arranged in advance with the owners/operators of the ballroom.

Do you have a place to store coats during the colder months?

Yes, we have coat racks available on the third floor.

Do you have any sound and lighting equipment we can use?

Please ask your DJ/band about what is included in your rental package. Make sure to let them know they will need to bring a smaller system for the Main ballroom for the ceremony and/or dinner in addition to the dance set-up.
